Who we are
Ask Your ND is a health companion platform designed to support patients of naturopathic practices between appointments. The platform is operated by Shabita Nathwani ND and Teja Wellness. This policy describes how we collect, use, and protect your personal health information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
If you have any questions about this policy, contact us at shabita@askyournd.ca.
Consent
By using Ask Your ND, you consent to the collection, use, and disclosure of your personal health information as described in this policy. You may withdraw consent at any time by closing your account — see "Your rights" below.
What information we collect
- Account information — your name and email address, provided when your practitioner creates your account.
- Conversations — the messages you exchange with Sage are stored so Sage can maintain context and continuity across sessions.
- Health signals — Sage infers health indicators from your conversations, including sleep quality, energy level, digestion, stress, and supplement adherence. These are summarised scores, not verbatim quotes.
- Treatment protocol — your practitioner may set goals, supplements, dietary recommendations, and lifestyle notes that Sage references during conversations.
- Practitioner notes — your practitioner may add context about your health (such as recent test results or treatment updates) to personalise Sage's conversations with you.
- Reminders — any reminders you ask Sage to set are stored until they are delivered or deleted.
- Photos or documents — if you or your practitioner shares an image during a session, it is sent to our AI provider for analysis and not stored long-term.
How we use your information
- To power your daily check-in conversations with Sage and make them feel personal and continuous.
- To generate pre-appointment summaries that help your practitioner understand your trends before each visit.
- To track health signals so your practitioner can monitor your progress between appointments.
- To send reminders you have requested.
- To improve the service over time using anonymised, aggregated data only.
We do not sell your personal information to anyone, ever. Your health information is used solely to support your care.
Not a medical record. Ask Your ND is a wellness tracking and communication tool, not a regulated electronic medical records system. It does not replace your practitioner's clinical notes or official health records.
Who can see your information
- You — you can always see your own conversations and reminders.
- Your practitioner — your naturopathic doctor can see your health signal trends, practitioner notes, and pre-appointment summaries. They cannot read your full conversation history verbatim.
- Ask Your ND staff — authorised team members may access data to provide support or investigate issues. Access is logged and restricted.
- OpenAI — your conversation messages are sent to OpenAI to generate Sage's responses. OpenAI's data usage policy applies. OpenAI does not use your data to train their models under our API agreement.
Data storage and security
Your data is stored in encrypted databases hosted in Canada. We use industry-standard security practices to protect your information. However, no system is completely secure, and we cannot guarantee absolute security.
Data is retained for as long as your account is active. If you request deletion, we will complete it within 30 days.
Your rights under PIPEDA
As a Canadian resident, you have the right to:
- Know what personal health information we hold about you.
- Access your personal information and request corrections.
- Withdraw consent and request deletion of your data.
- File a complaint with the Office of the Privacy Commissioner of Canada if you believe your rights have been violated.
To exercise any of these rights, email us at shabita@askyournd.ca.
Changes to this policy
If we make significant changes to this policy, we will notify you by email or by a notice in the app before the changes take effect.
